Lesson 5a: Case Management - Change Sponsored Child

This lesson addresses the use of cases to manage a sponsor's request to change a sponsored child.

Confirm Sponsorship

1. Navigate to the contact record for the sponsor that you previously created or find an existing sponsor contact record.

2. Go to the Relationships section and confirm that a child is being sponsored.

Create a New Case for Sponsorship Change Request

Create a New Case for Sponsorship Change Request

1. Scroll down to the 'Cases' related list.

2. Click the 'New Case' button.

 

3. Select the 'Donor Inquiry' record type and click the 'Continue' button.

4. Fill in all required and relevant information, leave default fields as is.  Be sure to set the Type, Case Reason, Subject, and Description.  Use the text provided above as an example.

5. Click the 'Save' button (located at the top or bottom of the page).

6. Navigate back to the sponsor's contact record by clicking the Contact Name hyperlink.

Scroll down to the 'Opportunities' related list and click the Opportunity Name hyperlink.

 

View the 'Recurring Gift/Transactions' Related List

Scroll down to the 'Related Giving/Transactions' related list and view the list.  To see all items click on the 'Show # more' link.

Cancel the Current Sponsorship

Cancel the Current Sponsorship

1. From the opportunity record, click the 'Manage' button.

2. Set the 'Payment End Date' field to today's date.

3. Click the 'Save & Close' button.

4. Hover over the 'Stage' field and double click next to value of Partially Collected.

5. In the pop up window that appears, change the Stage value to Canceled.

6. Click the 'OK' button.

7. Click the 'Save' button.

Change Child Status to Available

Change Child Status to Available

1. From the opportunity record, go to the 'Credits' related list and select the hyperlink of the child's name.

2. Hover over the 'Child Status' field and double click next to value of Sponsored.

3. Change the Child Status value to Available.

4. Click the 'Save' button.

Deactivate Sponsorship Relationship

1. Click the 'Manage Relationships' button from the child record.

2. Deselect the 'Active' checkbox and click the 'Save & Close' button.

Create the New Sponsorship Opportunity

1. Navigate back to the sponsor's contact record using the Global Search.

2. Go to the Opportunity related list and click the 'New Opportunity' button.

 

3. Select the 'Donation' record type and click the 'Continue' button.

4. Fill in all required and relevant information.  Refer to the Data Sheet for the exact information to be entered.

5. Click the 'Next' button.

6. Click the 'Next' button, again to confirm payment method previously used.

7. Click the 'Save & Close' button.

1. From the opportunity record, click the 'Add Sponsorship' button.

Search for a Child

Search for a Child

Enter the filter criteria to return a specific set of results:

1. Select the applicable field to use as your filter.

2. Select the operator.

3. Enter the value to match.

4. Repeat Steps 1 through 3 to add additional filter criteria.

5. Click the 'Search' button.

Select the Child to Sponsor

1. Go to the bottom of the page to view the rendered list of results.

2. Select the checkbox next to the child to be sponsored.

3. Click the 'Sponsor' button.

4. Click the 'Add Sponsorship' button.

Close Out the Case

Close Out the Case

1. From the opportunity record, click on the 'Account Name' hyperlink.

2. Scroll down to the 'Cases' related list and click the 'Cls' link to close the case.

3. Set the Status to Closed and click the 'Save' button.
